Understanding the Overview Tab in Addo Sign
The Overview tab provides a centralized dashboard for monitoring all your document transactions. Whether a signing is Completed, Started, or Failed, you can quickly check its status. Use multiple filters — such as date, recipient, or status — to narrow down results or export data for reporting and auditing with a single click. This tab is your go-to spot for staying in control of your digital signing workflow.
What Information Can You View and Filter?
You can customize your overview by sorting or filtering using these standard fields:
Status – View which transactions are pending, completed, failed, or in progress
Recipient – Search by recipient email or name (one recipient at a time)
Send Date – Sort by the date a transaction was sent
Updated – See the last time any action occurred in a transaction
Credits – Track how many credits were used; credits are deducted step by step during a transaction
Transaction ID – Unique ID assigned per signer, useful for support cases
Tip: If you can’t find a transaction, it’s often due to the date range being too narrow. Extend the filter to include older entries.
Customize Your Overview
To adjust what columns you see in the overview:
Click the gear icon in the bottom-right corner
Select or deselect the columns you wish to include
Exporting Data from the Overview
You can export your filtered data as a CSV file:
Adjust the date range as needed
Click Download CSV to export your data for internal tracking, credit usage reports, or audits
How to Manage an Ongoing Transaction
To manage a transaction, click on it from the overview list. A pop-up window will appear with detailed information, including but not limited to:
Signer status
Contact details
Signature and authentication method
You can switch between recipients to see who has opened or signed the document. Each signer will appear in a separate box at the top of the pop-up, with the active signer highlighted.
Signing Details
As the sender, this view provides a clear summary of your transaction details. You can:
See when the transaction was created
Check its expiration date
View which template was used
Confirm the signature method
Review sender and recipient contact details
View credit usage
Access identifiers like Signing ID and token
You can also add signing notes or resend documents if needed.
Managing Documents
Under the Documents tab, you can:
Click a file to download it individually
Resend all documents to signers
Download all documents as a ZIP file
Signed documents are available for 40 days after the transaction expires. After this period, they are permanently deleted from Addo Sign servers.

Reviewing the Activity Log
The Activity Log provides a detailed timeline of every recorded event related to the transaction:
When the transaction was created
When the email was delivered and opened
Whether the signer accessed or signed the document
Any errors (e.g. invalid email address, delivery failure)
This log is essential for diagnosing issues or verifying a recipient’s interaction with the transaction.

Cannot Update Recipient in State: Failed
This error occurs when attempting to update contact information on a failed transaction without first reactivating it. Please ensure you reactivate the transaction before making any changes to the recipient details.

Why Has the Signer Not Received the Message?
If a signer reports not receiving the message, review the transaction log. This will show delivery status, timestamps, and any errors. For instance, if an incorrect email address was entered, the log will show a delivery failure.
