Have you prepared your template and files to be merged?
Depending on the type of template you choose to use, these will set the framework for, for example, the signature method, the email notification and where you receive the signing documents.
- Guide to creating a signing template (If the recipient must sign)
- Guide to creating a secure file transfer template (If the recipient only needs to receive the file)
Note that when you do an Addo Merge, any fixed signatures or choice of receipt on the signing template are excluded. All signatures or choices must appear in the merge file being uploaded, as predefined fields overwrite the template.
In Addo, two documents are required to use Addo Merge:
- Merge document in Microsoft Word, which can be with or without merge fields.
- Merge file in Microsoft Excel, which contains the information to be merged or predefined fields that allow you to perform a mass mailing in Addo Merge.
If you have these files ready you can send your documents to your recipients, where the Excel and Word file will be automatically generated into a PDF file.
Send your documents for signature with Addo Merge
If you have your files ready, follow this guide to bulk send your documents.
- Select "Signing template" or "Secure file transfer template" to determine the type of bulk sending you want to make.
- Select Template to retrieve information from the template defined in the merge file.
- Click on "Upload MS document to use for mail merge".
- Click on "Upload CSV file containing the merge data".
Once the merge document and merge file are uploaded, they should now be linked in Addo.
- Click on "Validate"
- Check your status message whether all fields are merged correctly. Here you will be informed if challenges occur in a specific column of your merge file.
- Click on "Preview" to preview your word document.
- Click on "Send" to make a bulk sending with your information from the merge file.
Should an error occur in step 2, it may be due to an error in the merge file regarding special characters/ÆØÅ. We therefore recommend that you read the article about UTF-8 format.
Send your documents without requiring a signature with Addo Merge
By using the Secure File Transfer template, you can send documents that don't require a signature to a large number of people at once. With Secure File Transfer you can securely send your documents over an encrypted TLS connection and if you have purchased the e-Boks integration, you can make a bulk send directly to e-Boks.
In addition, simply upload your word file and your merge file with Addos predefined fields and contact information of your recipients.
Bulk sending of documents without merge fields
If you want your word document to have identical layout, formatting, text and images without personal information, you can use Addo Merge without merge fields.
It requires that you click "Download CSV template" under the letter merge function and enter Addo's predefined fields, such as signing identifier, document name, recipient name, reference number, sequence number, send receipt and whether the recipient should be notified via. mail, ssn or phone.
If you are still in doubt about what is meant by the structure of the CSV template, it is recommended that you read the article: Building merge fields in a .csv file.
If you have done this, you can send documents in bulk to your recipients without merge fields.
