Predefined fields (Merge file)

Based on the selected signing template in Addo, predefined fields are automatically generated in the merge file, which are the foundation for bulk sending.

If you have followed the guide: "Creating a merge document and file" you will find that Addo automatically creates fields in the .csv file to be filled in around the recipient. This guide tells you what each field means.

What are predefined fields?

When you use the mail merge function, upload your Word document and download a CSV template, there will be predefined fields that you need to fill in. These fields have no impact on the document you want to send, but are simply the framework set by the signing template.

 

Note that when you do an Addo Merge, any fixed signatures or receipt selections on the sending template are excluded. All signatures or choices of settings must appear in the merge file being uploaded.

List of predefined fields and their meaning

The following section shows you a list of the fields that are automatically generated by Addo in order to make a transaction.

 

Signing identifier

The field "Signing identifier" indicates the number of transactions. In the above example, it appears that on the same transaction No 1 there are two signatories: "Jesper and Mikkel". In addition, there are single transactions with single signatories indicated as number 2 and number 3, meaning that the merge document only goes to them. In other words, documents to be sent individually will typically be 1, 2, 3, 4, 5 and so on in the column.

 

Document name

It is optional whether the "Document name" field should be filled in. If left blank as in the above case, the recipient will simply receive the name of the merged document, which in this case is "Bellöhus_brev". This name will be overwritten by a new name if the field is filled in.

 

Recipient Name

This field is based on the template, so that the parameter from the "Invitation notification", i.e. the mail that the recipient receives when the documents are signed, will retrieve %recipientname% for the person in question when they need to access the link. Reference number

It is optional whether the field "Reference number" is filled in. This allows you to have an overview of your bulk sending during your transactions in Addo.

 

Sequence number

The field specifies whether recipients should sign in a particular order, and goes hand in hand with the Signing Identifier. If there are multiple signatories on the same transaction, the order is specified here so that recipient 2 can sign as soon as recipient 1 has signed. This can be both "1" and "1" if the recipients need to be able to sign at the same time.

 

Send receipt

If left blank, the receipt settings are based on the template. However, it is possible to specify either "yes" or "no" if there are recipients who, for example, should not receive a receipt for the signed document. 

 

Email 

In the example above, the template specifies that the recipient should receive messages by e-mail. Here, the recipient's contact information must be entered.

 

Different types of notification or "Password of signatory's finished copy"

If e-mail is not selected to notify the recipient from the template settings, it is of course also possible to make a bulk sending to, for example, e-Boks or SMS, where a social security number or phone number is required. This changes in the predefined fields. Here is a list of options you should be aware of, besides email:

 

Phone

Fill in the recipient's phone number. Note that depending on your settings, you may not be able to enter the country code, such as "+45" in the excel sheet. The solution would be to put an apostrophe in front of the number like this: '+45 and then enter the recipient's phone number.

 

Secret Code

Enter the secret code that must be entered before the signer can access the signing portal.

 

SSN (Social Security Number)

Enter the recipient's social security number (CPR number)

 

VAT

In case a NemID employee has been selected, it is necessary to enter the company's VAT number.
