Hierarchy, roles and rights

we will explain how the user hierarchy works and what the different users have access and permission to depending on their role.

In Addo Sign there are four different roles and these four and their differences will be discussed in this article.

Hierarchy
Administrator
Group Administrator
Group Viewer
Standard User

Hierarchy

mceclip3.png

This illustration shows the user hierarchy for Addo Sign. At the top we see administrators who have control over group administrators and standard users. The next level is group administrators, then group viewers and finally we see the standard users.

Each group is divided into a color which is reflected in green, brown, and purple. Some of the users seen in the image have multiple colors, which is because they belong to multiple groups. This is a part of the illustration to show that a user can belong to multiple groups, and similarly, group administrators can also belong to multiple groups. As an administrator, you have access to all underlying groups and therefore an administrator can see all transactions and use all templates in all groups. Read more about creating users here and creating groups and adding users to groups here.

The table below gives an overview of the possibilities the different roles have and in the following sections there is a review of the four different roles: Administrator, Group Administrator, Group Viewer and Standard User.

Administrator

An administrator is top of the hierarchy in any Addo sign account. This type of account has the most rights and features. The administrator has the overview of all transactions in the company and is also in charge of credits and the company's Addo Sign account settings. It also the administrator who decides which roles the other users in the company should have. An administrator has the power to change roles for others user. That means a standard user can be group administrator or administrator if the administrator choose the settings. It's possible to make groups in Addo Sign and it's the administrator who have the power to create groups and decide who is group administrator and who is a standard user member in the group.

  • Can see all transactions in the company and therefore have an overview over the company’s Addo account
  • Buy and handle credits
  • New signing
  • Can create groups
  • Can create new users and change status of a users role. Eg. An administrator can change standard users to be group administrators or administrators
  • Create templates (For all)
  • Access and add changes to Address Book
  • Validate signed document
  • Data Campaigns
  • Mail Merge

Group Administrator

A group administrator function as an administrator within their group and have fewer rights than administrators, but more rights than a standard user.

  • Can see all transactions in the groups they are group administrators for
  • New signing
  • Create template and use (Only for the groups they are group administrator for)
  • Validate signed document
  • Data Campaigns
  • Mail Merge

Unlike the administrator, the group administrator is unable to view transactions, other than those created in their own group. Group administrators can’t create new users or manage the account outside of their group.

Group Viewer

The group viewer has slightly fewer rights than the group administrator. This role can view and edit transactions for the group, but under settings, the user can only use the "Validation" function. This role is not allowed to create templates, Forms, etc. It is therefore a limited access, but this user has overview of the group and transactions.

Standard User

As a standard user, you have access to any standard Addo functionality, none of which include account management. A standard user may be part of multiple groups at the same time. A standard user has these features:

  • New signing
  • See own transactions
  • Can use templates created by the group administrator or admin
  • Validate signed document
  • Data Campaigns
  • Mail Merge
