With Addo Forms, you have the possibility to set the different questions and answers, so both the sender and filler have the possibility to fill in different questions.
It is also possible to make questions required so that you are sure that the filler answers the question before signing.
In this guide, we'll show you how to set up the different options and what it looks like for both the sender and the filler. Note that to make these changes you must have administrator or group administrator rights in Addo Sign. See more here.

What is it?
There are 3 options for questions in Addo Forms:
- Questions can be pre-filled either when making the Form template or before sending.
- Questions can be marked as 'Mandatory'
- Questions can be marked as 'Locked'.
Pre-filled
As a sender, you can pre-fill replies while creating the form or before sending. This is useful if you are updating an existing appointment and want to save the respondent some time by not having to answer all the questions. It can also be useful if Addo Forms is used for e.g. employment contracts where you as the sender (employer) have to specify salary and other conditions in advance.
A pre-filled answer can be edited by the respondent if necessary, or locked completely.
Mandatory
As a sender, you can make a question 'mandatory' either when building the Form template or sending the Form, and you do not have to answer the question before sending it.
As a respondent, you must answer a mandatory question using the options provided for answering before completing the Form.
If the question is set to 'mandatory' the respondent can change the pre-filled answer, but cannot leave it blank.
Locked
As a sender, you can make the pre-filled answer to a question 'locked'. Locking or unlocking can happen when building your Form template (for repeated use), and when sending the Form (if needed). You cannot send the Form without pre-filling (answering) the locked question first, because a respondent will not be able to edit any locked answers.
If the question is 'locked' it means that you as a sender must answer the question before sending it to the respondent, since the respondent cannot change a locked, pre-filled answer.
Setup
To set questions to either pre-filled, required or locked we start inside your forms. If you haven't yet seen our guide on how to set these up, we recommend you look at this before proceeding.
First, go into the form in question, or create a new one that is set up first.
- First, go to your settings
- Choose Forms in the menu
- Select the Form template in question
Once the questions are created, you can choose to have to prefill when sending or make a question mandatory from within your form template. In the example below, we are using an employment contract where the sender/employer knows some information about the candidate, but not everything. Below we show how to set up the form to distinguish between questions the sender and filler must answer.
- If a document needs to be pre-filled, tick this box. It also locks the mandatory field, as this must be filled in before sending
- This box needs to be checked if it should be mandatory that the question is answered. It can be by both the sender and recipient
- If neither is selected, answering the question is voluntary
As a sender
To send the set-up form, first go to Forms and find your form.
- Go to Send on the main page
- Select Forms
- Press the dropdown menu to the right of Form template
- Select the Form template in question
All fields that have been set to locked must be pre-filled by the sender. These cannot be changed by the recipient.
- For fields with a tick in locked, the question must be answered by the sender
- Fill in the field. In this example, the name must be entered before sending
If the question is set to mandatory, it must be answered by either the sender or the recipient. If it is not filled in by the sender, the recipient cannot complete the form without having answered the question.

As a recipient
The different compositions and options for the recipient to fill in the form are discussed below.
- This question has been pre-filled, made mandatory and locked. It is not possible for the recipient to edit the answer
- This question is pre-filled and mandatory. But as it is not locked, the recipient can change the answer
- This question is mandatory and therefore must be answered by the recipient
- This question is optional. There is no requirement for either the sender or the recipient to answer it
